Oral surgery
Referral or direct — know which one filled the schedule.
Most oral surgery practices run two completely different acquisition channels and measure them as one. SmartXperiences separates them.
The problem
Two channels, one number, no way to act on it.
One half of your schedule arrives because a general dentist sent them. The other half found you themselves, usually for implants, wisdom teeth or a second opinion.
Those two halves need completely different work. Referral is a relationship business measured in referring offices and their volume over time. Direct is a search business measured in ads, pages and calls.
Blended into one new patient count, neither can be managed. You cannot tell whether a slow month means a referring practice went quiet or a campaign stopped working.
The difference
We split the schedule at the source.
We do not sell marketing services. We fix the system that turns demand into revenue, and we instrument it so every case is attributed to a referring office or to the marketing that produced it directly.
On the referral side that means seeing volume by office, month over month, so a decline is visible while it is still fixable. On the direct side it means cost per booked surgical case by procedure.
Both land in the same record, which is the only way to know what your schedule actually depends on.
What gets instrumented
Four connected capabilities, not a list of tactics.
SMART Click
Paid demand for the procedures patients search for themselves, kept separate from referral volume.
SMART Search
Organic and local visibility for second-opinion and procedure research.
SMART Receptionist
Voice-enabled conversational AI that answers, routes referral from direct, and books the consult.
SMART Insights
The business intelligence layer that joins call data, referring offices, ad platforms and booked cases into one record.
Who this is for
Oral and maxillofacial practices past $1M with a schedule already filling.
Single-surgeon and group practices, implant-heavy or full-scope.
It is not for a practice trying to create demand from nothing. We fix capture, not existence.
The proof
What this has produced elsewhere.
We do not publish client names. The results page carries the cases we can show — and when you are ready to confirm them, we will put you in direct contact with an owner in a business like yours.
Straight answers
Questions oral surgeons ask first.
Are you an oral surgery marketing agency?
No. An agency sells services and reports on activity. We build and instrument the system that turns existing demand into booked cases, then hand you the record that proves which marketing produced them. If what you want is someone to run ads and send a monthly report, we are the wrong call.
Almost everything comes from referrals. What would you even measure?
Referral volume by office over time, first — most practices cannot see a referring office going quiet until a quarter has passed. Then whatever share of your schedule arrives directly, which in implant-heavy practices is usually larger than expected.
Will this interfere with our referral relationships?
No. It measures them. Knowing which offices send what, and when that changes, is what lets you spend your relationship time where it matters instead of spreading it evenly.
Can you tell which procedures the direct enquiries are for?
Yes, and you should want that split. Wisdom teeth and full-arch implants are not the same business and averaging their acquisition cost hides both.
How do you handle patient privacy?
SmartXperiences can configure HIPAA-supporting call-tracking workflows for healthcare clients. We operate under a Business Associate Agreement with our call-tracking provider and execute a Business Associate Agreement directly with each practice before processing protected health information. HIPAA compliance is a shared responsibility. SmartXperiences manages the call-tracking systems and workflows within our control; each practice remains responsible for its own privacy policies, workforce practices, authorizations, and legal compliance.
How do you measure campaign performance without sharing patient information?
Attribution needs to know which campaign produced a qualified call—not who the caller is or why they called. Calls are matched to campaigns and scored inside the call-tracking platform. Advertising platforms receive only the conversion data approved for the engagement—not call recordings, transcripts, or information provided by the caller. That gives Google and Meta a conversion signal they can optimize against. The configuration is verified for each engagement before patient calls are recorded.
What does it cost?
We set scope after the audit, not before it. The assessment is free. The audit is priced after the assessment, and the audit fee is credited toward your build.
Can I talk to a practice you have worked with?
Yes. We do not publish client names — we own the story, we do not own the brand. When you are ready to confirm what you have read, we will put you in direct contact with an owner in a practice like yours. They have already agreed to take the call.
