Orthodontics

Count started cases, not new patient calls.

The person searching is rarely the person paying, and the case often starts a season after the first contact. SmartXperiences holds the record across both gaps.

The problem

Two gaps your report cannot see across.

The first is who. A teenager is the patient, a parent is the buyer, and often a general dentist made the recommendation. Three people, one case, and your form captures one of them.

The second is when. An exam in March becomes a started case in August, after a conversation about money and a second opinion. By then the campaign that produced the exam has been judged and possibly cut.

What is left in the report is a new patient count that tells you almost nothing about the year.

The difference

We measure to the started case.

We do not sell marketing services. We fix the system that turns demand into revenue, and we instrument it so a started case traces back to whatever produced the first exam, months earlier.

That gives you cost per started case rather than cost per call, split by case type — because clear aligners, comprehensive treatment and early interceptive work carry different values and different decisions.

Exam-to-start conversion by source is usually the number that surprises people most.

What gets instrumented

Four connected capabilities, not a list of tactics.

SMART Click

Paid demand aimed at the parent doing the research, not only the patient.

SMART Search

Organic and local visibility for the long comparison phase between practices.

SMART Receptionist

Voice-enabled conversational AI that answers, qualifies and books the exam.

SMART Insights

The business intelligence layer that joins call data, ad platforms, forms and started cases into one record.

How the record gets built, stage by stage

Who this is for

Orthodontic practices past $1M with exams already booking.

Single-location and multi-location practices, aligner-heavy or comprehensive.

It is not for a practice trying to create demand from nothing. We fix capture, not existence.

The proof

What this has produced elsewhere.

We do not publish client names. The results page carries the cases we can show — and when you are ready to confirm them, we will put you in direct contact with an owner in a business like yours.

Straight answers

Questions orthodontic practices ask first.

Are you an orthodontic marketing agency?

No. An agency sells services and reports on activity. We build and instrument the system that turns existing demand into started cases, then hand you the record that proves which marketing produced them. If what you want is someone to run ads and send a monthly report, we are the wrong call.

Our cases start months after the first exam. Can you track that?

That is the reason to do it. Ad platforms close their attribution windows well inside your decision cycle, so the campaign that produced a start in August gets no credit for the exam it created in March. We hold the record open until the case actually starts.

Most of our new patients come from dentist referrals. Does marketing matter?

The referral often starts it and your marketing closes it — a parent who is told to see an orthodontist still searches, compares two or three practices and reads reviews before calling. Instrumenting it is how you find out which half is doing the work.

Can you separate aligner cases from comprehensive treatment?

Yes. They carry different values and attract different enquiries, and blending them gives you a cost per start that misrepresents both.

How do you handle patient privacy?

SmartXperiences can configure HIPAA-supporting call-tracking workflows for healthcare clients. We operate under a Business Associate Agreement with our call-tracking provider and execute a Business Associate Agreement directly with each practice before processing protected health information. HIPAA compliance is a shared responsibility. SmartXperiences manages the call-tracking systems and workflows within our control; each practice remains responsible for its own privacy policies, workforce practices, authorizations, and legal compliance.

How do you measure campaign performance without sharing patient information?

Attribution needs to know which campaign produced a qualified call—not who the caller is or why they called. Calls are matched to campaigns and scored inside the call-tracking platform. Advertising platforms receive only the conversion data approved for the engagement—not call recordings, transcripts, or information provided by the caller. That gives Google and Meta a conversion signal they can optimize against. The configuration is verified for each engagement before patient calls are recorded.

What does it cost?

We set scope after the audit, not before it. The assessment is free. The audit is priced after the assessment, and the audit fee is credited toward your build.

Can I talk to a practice you have worked with?

Yes. We do not publish client names — we own the story, we do not own the brand. When you are ready to confirm what you have read, we will put you in direct contact with an owner in a practice like yours. They have already agreed to take the call.
