Dental and Medical Practice Marketing, Measured in Started Cases

A booked consult is not a case. Measure the one that pays.

Implants, orthodontics, plastic surgery, dermatology, aesthetics. Every one of them runs on a high-value decision that takes weeks — and almost none of them can tell you which marketing produced it.

Most marketing for dentists and medical practices is judged on new patients. We judge it on started cases and what each one cost to win.

The problem

New patients is a volume number. It hides the business.

Two practices add forty new patients in a month. One of them had a materially better month, because of what those patients came in for and how many of them went ahead.

The gap between a booked consult and a started case is where high-value practices lose money, and it is the part nobody instruments. Consults that never showed. Cases quoted and never accepted. Calls that rang at lunchtime and went to the practice down the road.

All of it was paid for. None of it appears in a marketing report that stops at new patient.

The difference

We measure to the case, not to the call.

We do not sell marketing services. We fix the system that turns demand into revenue, and we instrument it so a started case can be traced back to the ad, the page and the call that produced it.

That means cost per started case, split by procedure — because an implant case, a hygiene visit and a cosmetic consult are not the same event and should never be averaged into one cost per new patient.

It also means the front desk stops being a blind spot. A call that rings out is spend you already made.

Who this is for

Practices past $1M where a single case is worth real money.

Owner-operated or small-group, with demand already coming in and no clear line between what was spent and what was produced.

It is not for a practice trying to create demand from nothing. We fix capture, not existence.

The proof

What this has produced elsewhere.

A dental practice case already runs on the results page.

Compliance

Patient data stays where it is covered.

Attribution in a medical practice fails compliance in a predictable place. Someone connects a system that was never permitted to hold patient information, and nobody notices until it matters.

SmartXperiences can configure HIPAA-supporting call-tracking workflows for healthcare clients. We operate under a Business Associate Agreement with our call-tracking provider and execute a Business Associate Agreement directly with each practice before processing protected health information.

Before patient calls are recorded, we configure and verify the required safeguards for the engagement, including encrypted recordings and storage, controlled user access, automatic redaction, and secure transcription when sensitive identifiers may be discussed. Advertising platforms receive only the conversion data approved for the engagement—not call recordings, transcripts, or information provided by the caller.

HIPAA compliance is a shared responsibility. SmartXperiences manages the call-tracking systems and workflows within our control; each practice remains responsible for its own privacy policies, workforce practices, authorizations, and legal compliance.

Your own counsel should review any vendor arrangement before patient data moves. We will give them the specifics.

Straight answers

Questions practice owners ask first.

Are you a medical marketing agency?

No. An agency sells services and reports on activity. We build and instrument the system that turns existing demand into started cases, then hand you the record that proves which marketing produced them. If what you want is someone to run ads and send a monthly report, we are the wrong call.

Why measure cases instead of new patients?

Because new patients is a count, not a result. Forty new patients made up of hygiene visits and forty made up of implant consults are completely different months. Cost per started case, split by procedure, is the number that tells you what to fund.

Do you work with practices outside these specialties?

These are the ones where a single case is worth enough that attribution changes decisions. If your average case value is high and your consult-to-start gap is wide, the same system applies whether or not there is a page for your specialty here.

How do you handle patient privacy?

How do you measure campaign performance without sharing patient information?

Attribution needs to know which campaign produced a qualified call—not who the caller is or why they called. Calls are matched to campaigns and scored inside the call-tracking platform. Advertising platforms receive only the conversion data approved for the engagement—not call recordings, transcripts, or information provided by the caller. That gives Google and Meta a conversion signal they can optimize against. The configuration is verified for each engagement before patient calls are recorded.

What does it cost?

We set scope after the audit, not before it. The assessment is free. The audit is priced after the assessment, and the audit fee is credited toward your build.

Can I talk to a practice you have worked with?

Yes. We do not publish client names — we own the story, we do not own the brand. When you are ready to confirm what you have read, we will put you in direct contact with an owner in a practice like yours. They have already agreed to take the call.

Working with a covered entity

If your practice is a covered entity under HIPAA, we execute a Business Associate Agreement before any call is recorded or any patient data reaches our systems. Call recordings and transcripts are never transmitted to advertising or analytics platforms — only conversion data, in fields your practice approves in advance.
